Accompanying Discs and Cassettes, such as CD-ROM discs, Floppy Disks, Compact Discs (Audio CD’s), and Audio Cassettes (12/12/2001 MQ)

These guidelines pertain to discs and cassettes which accompany and are cataloged as part of a monograph or serial publication. There should be a note in the bibliographic record about these accompanying materials.

1. Create a note in the holdings record if the accompanying material is located at a different location:

Monograph example:

852 0 $b RIDM $h HF101 $i .F23 2000 $z Accompanying compact disc shelved at Circulation Desk.

Monograph example:

852 0 $b RIDM $h DA23 $i. L232 1999 $z Accompanying CD-ROM disc shelved at Circulation Desk.


Serial (in Reference) example:

852 0 $b RIDR $h CA211 $i .S21 $z CURRENTLY RECEIVED.

866 41 $a 1990- $z Accompanying CD-ROM discs shelved at Circulation Desk (1999- ).


Serial example:

852 5 $b RIDP $z CURRENTLY RECEIVED. Current paper issues kept until received on microfilm. Shelved by title. Paper format. Accompanying CD-ROM discs and floppy disks shelved at Circulation Desk under title.


2. Create an item record for the disc. This item record should be attached to the holdings record for the printed items. The item location and the item type in the item record for the accompanying piece should match that of the piece it accompanies as defined by the holdings record.  The subfields in the holdings record will alert the user as to where the accompanying material is located, and the item type governs circulation, and we want all pieces to have the same circulation period.

   Foreign films: PN1995.9.F67 (this has not been consistent, but helps to make the PN1997s less cluttered in cuttering)

Blu-ray considerstions

250 Blu-ray version

655 0 Blu-ray discs.  INSTEAD of “DVD-Video discs.”

007 $e should be “s” (have to update Carl and Frank’s computers with tag table info so this displays, though they could check this online)

Call number label  should have “Blu-ray” under the call number instead of “DVD.vid”

Put “Blu-ray” as part of call number to make it obvious?  Try this. DVD.vid is not part of call number display, but it should be.  Change policy?

4/20/2012:  If Blu-ray comes with DVD, separate from Blu-ray and catalog on its own record.  What to do it with digital copies??

4/4/2014: Cataloged "The Swimmer" DVD +Blu-Ray copy together. Not sure about 2012 decision.

 

DVDs and VHS must have the appropriate 007 field!

Here is an example of a DVD with color content and sound, where the container or disc specifies that the sound is in stereo.

540 field not indexed in keyword index. In addition to the 540 note, add  590 “Rider University has public performance rights (PPR) for this title. See "Terms of use" for more details or contact the electronic resources librarian.”

 

If we purchase a DVD that has Public Performance Rights/we pay an institutional price, please let Melissa know.  We will put these notes in the bib record, in the 540 note.

OR, depending on what the sticker says:

540 _ _ Rider University has limited public performance rights for this title.

Some PBS videos come with a sticker that notes limited public performance rights. Please include the text of what is permitted from the sticker after the note above. Put the words from the sticker in quotes and append --Sticker. at the end.

 

If it is unclear as to what the institutional license grants, enter the following 540  and a link to the publisher website.

540 _ _Rider University has an institutional license for this title. For information on public performance rights, see http:// ...

 

PBS example (7/31/2012):

540 _ _ Rider University has limited public performance rights included in the purchase of this title: May be shown in a classroom or screened by a public group, for educational purposes, when no admission is charged for the viewing; may be transmitted on a closed-circuit system within a building or single campus—From sticker on container.

For other publishers, we will try to determine what is permitted and append that to the note. Include the source of the information, e.g., --Publisher website.

"Purchase or rental of all LANDMARK MEDIA titles includes public peformance rights. This means that you may show them before a public audience."

We pay the institutional price for New Day films. The following quoted information is for our use only. The standard note should suffice for New Day films. "The higher cost includes educational rights, which are more extensive than those granted with home DVDs. The social issue films in our catalog are purchased and used primarily by educational and other institutions to screen regularly in front of groups."  Institutional vs. individual purchase: "If you purchase a DVD at the individual rate, it is for home use only. You will not be allowed to show it publicly, in the classroom, or any institution."
