Cataloging Gift Items

Items that are donated to the library as a gift and that get a gift plate pasted in the book should have the donor’s name in the bibliographic record.

Use the 561 field for this information. Leave the first and second indicators blank and record the name of the donor as entered on the gift plate in subfield a (without the brackets).


561 _ _ $a Gift of [donor's name].


If there is more than one copy of the gift book, either in the Moore Library or the Talbott Library, amend the note to refer to the appropriate copy or library.


EXAMPLES:

561 _ _ $a Copy 2 is the gift of [donor’s name].

If a second copy of the title is the gift title, and Moore owns both titles

561 _ _ $a Copy 1 is the gift of [donor’s name].

Add “Copy 1 is the” to the original 561 note if Moore Library adds a second copy of the title later. It must be clear as to which copy the gift book is.


561 _ _ $a Moore Library’s copy is the gift of [donor’s name]

If the gift title is also owned by Talbott.
