General bindery preparation includes:
Writing call number and bib number on the title page in pencil.
If the item being cataloged is too fragile for circulation, prepare it for binding after cataloging by including an internal note, "Needs to go to binder. 201502 [date]." Also create a public note, "in cataloging office waiting for bindery." Then add the item to the office shelf with others needing the bindery.
If the item is strong enough to circulate, do the above, except for the note about being in the cataloging office. Then have it processed and sent to the shelf.
Preparing and sending music scores to the bindery (MQ 5/20/2010)

You can get to the web page with the blank forms by clicking on Contact at the very bottom of the website for the HF Group. Then click on the location, Hatfield.
I have also created a shortcut to Bindery Slips on my office computer's desktop.
Use the monograph bindery slip for music scores.
Moore Library can ship any time I like; just call ahead to arrange the date.
You need at least 50 pieces per shipment. If possible, one shipment should go out at the same time as the serials shipment at the end of the semesters.
Fill out a bindery slip for each piece. Add the following to each slip:
1. Account number (43301, same as one we use for serials)
2. Title and composer/author
3. Color code for buckram (use codes from webpage at
http://www.hfgbinding.com/library-binding/color-guide/
4. Color for text (from drop-down menu)
5. The call number to be imprinted on the cover.
6. Also, check off music.
Important: Each slip consists of two copies. Keep one for our records and send the other in the book to the bindery. In the case of scores going to the bindery immediately after being cataloged and before we have labeled it, each of our copies of the bindery slip need to be stapled to the matching cataloging process slips that were generated by the cataloger.
As you type one slip at the top, the second one below is filled out automatically, but you must remember to click outside the last box you filled in, in order for the last of the text to be copied below.
Fill out a shipping record (3 copies including 2 to go with shipping and 1 for our records). This is includes an exact count of the number of scores (i.e. volumes). Library staff needs to sign each copy of the record, as well as the shipping driver at time of pick-up.
Don’t really need to specify binding method. They will automatically do music binding which will lay flat, the way they do Talbott and New York Public libraries. About 95% of NYPL is done with double fan adhesive binding. Oversewing is only done on small number of scores that are expected to get lots of manhandling.
We have not asked about sheet music yet.
There is at least a 4 week turnaround, sometimes longer for difficult music
If there is a rush, we will do a dummy catalog record and check out the score to “cataloging review” or put a note on our copy of the bindery slip.
When the scores come back from the bindery, match them up with our copy of the bindery slip. Use the bib numbers on the pieces to retrieve the item records for checking in from the bindery. This step is important. Each piece that goes to the bindery is checked out to the bindery and must be checked in via the cataloging module. New titles are sent without barcodes.
Those that still need to be barcoded need to go to the 4th floor for Carl to finish processing them. There will already be an item record for him use for the barcode, since we used the item record without the barcode to check the item out to the bindery.
Any scores that were checked out to cataloging review before being sent to the bindery will go upon their return to the music cataloger.
See sample in music cataloger’s office.
